Document Sharing With Tracking: Links, Analytics and Data Rooms

TL;DR

A tracked link lets you see visits, pages viewed and time spent where an email attachment leaves you guessing. Controls can gate or revoke the link, but viewing data is evidence of activity, not proof of attention or identity. Pantheon brings tracked links and lightweight Spaces (data rooms) into the workspace with your deals and conversations; its document features are in invite-only alpha.

Remember emailing a deck and wondering if anyone opened it? An attachment becomes a separate copy in each inbox, so you cannot observe later reading from the original file. A cloud-drive link lets you change access to the source file, but its ordinary sharing view may say little about an outside reader. A tracked link opens a hosted viewer and records activity for that link. It can also keep the same URL when the file changes. See how to track pitch deck views.

What can document analytics actually tell you?

Visits, unique viewers, pages seen, time per page and downloads help you understand which material was opened. They do not prove that a person read carefully, made a decision or even used the email address entered at a gate. A forwarded link can reach someone new; an anonymous session is not a named contact. Treat a long visit as a reason to ask a better follow-up question, not as buying intent. Learn the limits of viewer identity.

A password or email gate asks the visitor to clear a step before viewing. An expiry date and revocation limit future access. A downloads switch can remove a viewer’s Download button; it cannot prevent screenshots or other copies. If a deal is sensitive, decide who may receive the link and what belongs in it before sending. For signing by someone else, use a dedicated e-signature tool.

When is a data room useful for fundraising?

A data room gives investors one organized link instead of a chain of attachments. For a seed round, a folder index with a deck, financial context, cap table and key agreements is often enough. M&A diligence can call for stronger permissions and formal Q&A in an enterprise virtual data room. Use the investor data room checklist or read what a data room is.

Where should document activity live?

The useful direction for a Relationship OS is to put document activity on the person, next to the conversation that led to the share. That makes a follow-up easier to understand than a standalone analytics dashboard. This is a design goal, not a claim that Pantheon automatically matches a viewer to a contact today. See the Relationship OS idea.

Pantheon’s take on tracked sharing

Share a PDF, a deck or a whole folder from the same place you manage your deals and conversations. Lock each link with a password, an email gate, an expiry date or a downloads switch, and revoke it anytime. See who opened it, from where, on what device, and how long they spent on each page. Pantheon can send a link by email from the workspace. Spaces (data rooms) hold files in numbered, nested folders behind one link, with per-file views and downloads. A file update keeps its link and analytics. Document features are in invite-only alpha. The email a viewer enters is not verified, and hiding the Download button is not copy protection.

Pantheon vs Other sharing methods

PantheonOther sharing methods
What the recipient getsTracked viewer linkAttachment: a file copy; cloud drive: a shared file link
After sendingRevoke or expire a link; update the file at the same linkAttachment: cannot retract the copy; cloud drive: access can be changed
Reading detailVisits, pages seen and time per pageAttachment: no reading data; ordinary drive sharing is not a page-level tracker

Can I see who viewed my pitch deck?

A tracked link can show viewer sessions and, when a viewer enters an email, the entered address. That email is not verified, and a forwarded link or anonymous visit may not identify the person behind it. Pantheon shows visits, pages seen, time per page and a per-viewer breakdown.

Can I stop people downloading a shared document?

Pantheon can hide the Download button for a link. That is not copy protection: viewers may still take screenshots or make other copies.

Is a tracked link the same as a data room?

No. A tracked link can share one document; a data room organizes multiple files behind one access point. Pantheon Spaces (data rooms) support nested folders and per-file views and downloads.

Can I change a file without sending a new link?

Yes. In Pantheon, updating a file keeps its link. Analytics continue across versions.

Can I send a contract for signature?

No. Pantheon does not send documents for other people to sign. Use an e-signature tool such as Docusign for that. Pantheon lets you sign your own PDFs in-app and counter-sign a PDF sent to you in chat.

Is Pantheon document sharing available to everyone?

No. Tracked sharing and Spaces are in invite-only alpha, enabled workspace by workspace.
